Start with the source records

Trace the transaction through documents, not logos. Put the proposal, installation contract, financing, equipment warranty, and service agreement in separate groups. Record the legal name and signature date on each. A familiar brand may appear in several roles without being the signatory to every agreement.

Compare the details

Build two parallel records: the promises and the performance. The first includes projected bills, production, incentives, and ownership. The second includes installation, inspection, PTO, payments, and service requests. Connect each disputed promise to its speaker and each performance issue to the party whose work or obligation needs review.

Turn the record into useful questions

A clear transaction map exposes missing documents. If the proposal names one company and the loan another, request both complete records. If an account changed managers, preserve the transition notice. A complete map supports a focused review; it does not automatically make every participant liable.

Build the review file

Signed installation and finance agreements, lease or PPA; the proposal and disclosures; signing records; utility bills and production reports; photos and inspections; messages and complaint responses; permit, PTO, warranty and account notices.

Do not delete original messages, crop away dates, or send only the signature page. Do not assume a complaint stops a payment obligation or a deadline.
